1. Why is ATSC using online registration?
The Club has been thinking about online registration for a while, and the Board approved it in Spring of 2004. The reasons behind the move are:
- The need to contact more than just the manager for advocacy, age group issues, etc. Right now, ATSC has great difficulty communicating with players and parents and needs to be able to reach all ATSC members, not just the managers and coaches.
- Develop a better system for fundraising. The online registration system has a check off where families can donate to the Club. Our Klurfeld Scholarship Fund assists in scholarship reimbursement, but we rely on other fundraising to support our $10,000 seasonal scholarship program.
Several ASA Clubs, including the Civitans and Northwest Lions, use this system for their player registration and it has been quite successful.
2. Is online registration mandatory?
Yes, online registration is mandatory for all ATSC players, coaches and volunteers except those who do NOT have Internet access. However, free Internet access is available at most public libraries and at many schools. If you do not have Internet access, a paper registration form is available. See your team manager (the form can be printed off from the ATSC web site in the "Documents and Forms" page). All ATSC players must be registered and pay dues with the Club to play on an ATSC team. Only registered players may be submitted on a team roster.
3. What changes are being made in Fall, 2006?
Beginning in Fall, 2005, no dues will be collected on line. In addition, families will register once for the year, although ATSC dues will be collected by the team in the fall and the spring. We are making this change because we determined that registering again in the spring was duplicative and confusing to some families.
4. Are ATSC and ASA dues collected by the team?
ATSC and ASA dues will again be collected by team treasurers. On September 10, 2006, the ATSC treasurer will bill each team each each player listed on the team's Official Roster Form (ORF). He will use the new VYSA registration system to access team ORF's on line to determine the number of players on each team and then bill each team accordingly.
For those players and families who can not register online, they should get a registration form from the team manager. Completed forms should then be returned to the team manager.
6. Can I make a donation using the online system?
Yes, just check the donation field and enter the amount you want to donate. Donations to the
Klurfeld Scholarship Fund are helpful in ANY amount, and are tax deductible.
7. How are scholarships applied for with the online system?
Scholarship requests will still be submitted via the scholarship form just as before. All ATSC club-wide fees must be paid by the team first, and then the team is reimbursed for scholarship players.
The team treasurer will pay the ATSC and ASA dues for that team's scholarship players. The team will apply for scholarship grants and disbursement will be made back to the team in the same process we use now. Dues collections will continue to be transparent to the Scholarship Committee and the anonymity of the scholarships will be protected.
The team treasurer should let the ATSC Executive Director know how many ATSC/ASA scholarship dues your team is including in your payment to the ATSC Treasurer.
8. For families with more than one child (some of whom have older children not currently registered in the online system), will there be a way to register any child not currently in the system?
As long as you’ve used the system before (for tryouts or a previous registration), you enter as a returning registrant. There will be pull down team names, so after you’ve entered your child who was registered for tryouts or whom you have previously registered, you then enter any remaining child who still must be registered.
9. Will ATSC notify treasurers and/or managers for each team if dues are unpaid by a certain date?
The ATSC Executive Director will notify managers if ATSC has not received payment by October 1st (fall) and April 1st (Spring). Teams who have not paid their dues may be referred to the Rules and Discipline committee for remediation.
10. Do you anticipate that you will use the same system in the spring? Are you planning to send reminders about this and, if so, to whom?
This is a permanent change to how ATSC handles player registration. However, families that register in the fall will not need to register on line again in the spring; only new players to ATSC will need to register in the spring. All players will need to pay ATSC dues in the spring, and teams will be billed by the ATSC treasurer similar to the procedure used this fall.
11. How do you expect families without computer access to obtain a registration form that is available online, i.e., how will they download it?
We hope the manager will know which families don’t have computer access. In one team’s case, the team manager knew which families didn’t have email addresses, so the team knew who would need online registration assistance. The manager or some designated team parent will print off a copy of the form, assist the family in filling it out, or ask for the information by phone, and then THAT person will enter it into the system.
12. I'm having trouble logging on to the registration page. Is the online registration system working?

If you are still unable to log on and you are trying to register from a work computer, your work computer may be behind a firewall that is keeping you from getting to the online registration page. Try registering from your home computer (or a computer at a different location such as a public library). That has resolved the problem for most people.
13. Can I designate a donation to a particular ATSC team using the online registration system?
Donations made via the online registration system are limited to the
Klurfeld Scholarship Fund (through the Arlington Community Foundation) and the general ATSC scholarship fund. The ATSC online registration system does not allow team-specific donations, as ATSC is not a 501(c)3 organization and the online system does not change that. ATSC is a non-profit organizaton, but not a 501(c)3 organization.
Individuals can designate a donation for a particular team by using one of the following two methods:
1) Send team-specific scholarship donations directly to ASA via regular mail (ASA, 4918 North 28th Street, Arlington, VA 22207, with the name of the team on the check), and receive a tax deduction for their donation as ASA is a 501(c)3 organization.
2) Sponsors or others who wish to make a tax-deductible donation to a specific team may also do so by making the check payable to "Arlington Travel Soccer Club/ASA" and sending it to the team's treasurer. The team's treasurer should then send the check(s) to the ASA, c/o Mac McLaughlin, 4918 North 28th Street, Arlington, VA 22207. Checks and an accompanying letter from the team treasurer should clearly indicate the team name and age group/gender (i.e., U11G Ballhogs) for which the money should be credited. The team should then send a separate request to Mr. McLaughlin for distribution of the donated money to the team, and a letter of appreciation acknowledging the donation to the sponsor(s) for their tax records. Team parents can fund the scholarship portion of their team assessment in this way if they wish their scholarship payment to be tax-deductible.
Team parents can claim a tax deduction in their individual income tax for the scholarship portion(s) of their payments to the team. The team’s treasurer should be able to calculate each parent’s individual scholarship contribution, taking into consideration sponsor(s) donations, other contributions, and ATSC scholarship grants to the team. A letter for the parent’s tax records is needed only if the scholarship portion of any payment to the team is $250.00 or more.
14. How do team managers register players?
Team managers who register players who can’t register themselves will create new households (NOT adding player records to the manager's household). An email address and mothers maiden name is not required to register theese players Managers need to check off “payment by check” and keep a copy of the confirmation page, which will allow you to match the individual or team’s check for these registrations.
