Purpose of this Document
This document serves as the charter of the ATSC Tryout Committee.
Tryout Committee Overview
Arlington Travel Soccer Club (ATSC) Tryout Committee will assist the Director of Coaching (DoC) and the Executive Director with the management and administration of the club’s annual tryout and team formation process. The duties and responsibilities of the Tryout Committee will include, but not necessarily be limited to, the issues listed below.
Structure of the Tryout Committee
The Tryout Committee will include at least five and no more than seven voting members as determined by the ATSC Board of Directors (BoD). The Executive Director is a permanent member of the committee as are the [following board members]. The other members of the committee will be appointed according to the procedures laid out in the club constitution. The committee will delegate duties and responsibilities among its members, including chairmanship, scheduling, etc.
The following guidance will assist the ATSC BoD in the process of filling the committee positions:

The committee positions should be filled by active and qualified persons from the Arlington soccer community. “Active” means willing and able to accept administrative responsibilities such as meeting participation, program development, etc. “Qualified” means reasonably familiar with or willing to learn about generally accepted best practices (e.g., USSF, USYSA, and VYSA standards) for youth soccer tryouts and team. The club particularly seeks those with a demonstrated commitment to the soccer programs in Arlington.

The committee is not limited to participation by named members. The committee is free to seek and received assistance as they deem appropriate, but deliberations and official judgments of the committee must be the result of the collective work of the committee members. Per the club constitution, recommendations developed by the Tryout Committee regarding tryout processes, administration, etc., will require ATSC Club Council approval in order to become official club policy.
Scope of the Tryout Committee
The Tryout Committee will be a standing committee of the club. It remains active unless and until the ATSC BoD ends its charter. The Tryout Committee will make regular reports to the ATSC BoD at each club meeting. The Tryout Committee will make additional reports as directed by the ATSC BoD. The Tryout Committee will also report the to the club council at their meetings.
The Tryout Committee is tasked with:

Recommending policies for preparing for and administering club tryouts, for the player selection process, and for the team formation process; these policy recommendations should be coordinated with the coaches committee to ensure that the technical and administrative policies of the club are in concert

Developing and administering procedures in preparation for the tryout period, including: working with the DoC to estimate the number of teams in each age group that will be formed, to identify the principle coaches for each age group tryout, and to determine field resource requirements; working with the Executive Director to ensure that the tryout schedule appropriate and feasible for the principle coaches in each age group; ensuring that there is adequate on site administrative support at each tryout session; developing materials and methods to communicate the essential elements of the tryout process to the players and families

Developing and administering procedures to ensure that the tryouts conform to the administrative policies of the club, including on site administrative support for the technical staff for checking in players, gathering player information, and disseminating information regarding the tryout process

Developing and administering procedures to ensure that the player selection and notification process and the team formation process conform to the administrative policies of the club, including such things as under age players, roster sizes, the timeframe and method of player notification for players selected and not selected, and initial team meetings for manager selection, coach introduction, etc.

Performing post tryout period reviews for lessons learned, conformance to the administrative policies of the club, etc.
